Our client is a specialist doctor located in the Northern Suburbs (Chermside) looking to bring on his next Medical Secretary/PA after the current incumbent is leaving after 15 years and we are looking to bring on a new person to fill the role.
The role is full time and will see you working solely with the one specialist working in the capacity as a Medical Personal Assistant and proficiently manage administrative tasks, coordinate appointment schedules, oversee medical records, and deliver exceptional customer service to patients truly act as a professional medical personal assistant for the specialising doctor. The doctor works approx 50% of the time in surgery and 50% in the clinic, with one day per fortnight in a different location in the Northern suburbs.
Role Responsibilities:
- Provide widespread secretarial support, including coordination, preparation, diary management across the doctors calendar
- Reconcile and liaise with external bookkeeper
- Greet patients, answer phone calls and respond to messages with warmth and professionalism
- Liaise with hospitals, operating theatres, other medical personnel
- Ensure parents are fully informed of all costs/fees and adhere to our payment policy
- Processing billing, patient payments and maintaining patient records (DVA’s, Medicare etc…)
- Coordinate hospital bookings for procedures, tests and admissions
- Ensure consulting rooms are prepared for patient appointments
- Manage administrative tasks, including data entry, filing, and record-keeping
About You:
- Previous Medical Secretary experience is highly regarded, preferable in surgery or a specialist medical field
- Experience with medical practice management software (Genie is preferred)
- Exceptional interpersonal skills
- Ability to multitask, prioritise, and manage time effectively
- Strong attention to detail and accuracy
- Knowledge of medical terminology is vital
